Hotel minibar inventory: restocking and unbilled consumption

Quick answer: minibar control has three moments: the check at checkout (what was consumed goes on the bill), restocking to the room standard, and the monthly close that compares what the storeroom issued to minibars with what was billed. The difference is unbilled consumption, comps or loss.

The minibar is the hotel's smallest store, and the hardest to audit, because it's dozens of stores, one per room.

The minibar standard

Set a fixed list per room type (for example: 2 waters, 2 sodas, 2 beers, 1 juice, 2 snacks, 1 chocolate bar). That standard is each minibar's par: housekeeping restocks up to it.

The checkout check

  1. Housekeeping checks the minibar against the standard and notes what's missing.
  2. The front desk posts it to the folio before checkout closes.
  3. Restocking leaves the storeroom as a requisition to the "Minibar" location.

The monthly close

40 rooms: the storeroom issued 1,180 items to minibars in the month; 1,040 were billed. 140 items at an average cost of $1.80 = $252 that nobody paid for: missed at checkout, uncharged comps or expired items that were swapped.

Expiry matters too: water and soda last months, but chocolate and snacks expire inside the room. First in, first out, and pull items a few weeks before the date to sell at the bar.
