Gift shop inventory: count thousands of lines with a few units each by scanning the barcode

By mise · Updated October 15, 2026

Quick answer: a gift shop (card and gift shop, variety store) carries 2,000 to 6,000 lines from fifty suppliers, with one to five units of each. Count by barcode, section by section; add handmade and local items once with a name and a photo; count seasonal stock before and after each holiday; and compare two counts to see what walked out and what has sat for a year, in money.

Scan the barcode on the mug, the candle or the card, or snap a photo: mise's AI finds the product and brings it back categorized. In a gift shop that means counting the whole floor by section with your team in a morning, and a clear list of what is dead stock after each season.

A gift shop is the hardest retail inventory per dollar of sales: a huge number of lines, tiny quantities, fifty suppliers, and four seasons a year that each leave a shelf of unsold stock behind. One missing candle is a whole line gone. This guide covers how to count, where stock leaves and what mise does.

What a gift shop counts

CategoryHow to countWatch for
Greeting cards and wrapBarcode per design; count by pocketHundreds of designs, one to three each
Candles, mugs, home decor, jewelry (jewellery)Barcode or your own labelBreakage; small, high value; theft
Food gifts (chocolate, tea, jam)BarcodeExpiry
Handmade, local makers, consignmentAdd once by hand with name and photo, or your own labelConsignment in its own location
Seasonal (holidays, Valentine's, Mother's Day, Easter)BarcodeDead stock after the date

A handmade item from a local maker is added once with a name and a photo; you can also photograph its label and mise's AI tries to identify it, with no promise that it will. Consignment stock (owned by the maker until sold) goes in its own location, so its value never mixes with yours.

Seasons and dead stock

A gift shop has four or five seasons a year. The count before the season tells you what to order; the count after tells you what to mark down and what to box for next year. Boxed seasonal stock goes in its own location, so next year's order starts from what you already own.

Example with numbers. A gift shop with 3,800 lines and $52,000 of stock at cost counted the week after the holiday season. Unsold seasonal stock: 410 lines, $6,100 at cost; 220 lines boxed for next year, 190 marked down. In the same count, 46 units were missing, $390 at cost, almost all jewelry and candles from the display by the door.

How to count 4,000 lines

  1. Sections are zones: cards, candles, home, jewelry, food, seasonal, stockroom, consignment. Each team member takes one at the same time, on their own phone, with their own permissions.
  2. Scan each barcode and type the units, usually one to three. The item comes up with name, brand and photo.
  3. Cards by pocket: scan one, type the count of the pocket.
  4. Close and compare with the previous count and with sales: shrink per line, in units and in money.

By barcode, a 300-line section takes under an hour; the whole shop is counted in a morning with three people. See how to do a stock take.

Routine, minimum stock and fifty suppliers

SectionFrequencyWhy
Jewelry, candles, small high-value itemsWeeklyTheft
Food giftsEvery two weeksExpiry dates
Cards, one spinner at a time; home and decorMonthlyDesigns that stopped selling; breakage
SeasonalBefore and after each seasonOrder and dead stock
Whole shopTwice a yearStock value and shrink

Set a minimum stock (par level) on what sells every day: gift bags, tissue, wrap, the top card lines, the bestselling candle. Below it, the item turns red and goes onto the reorder list with the quantity short. With fifty suppliers, what matters is that the list comes split by supplier, from the last invoice, as PDF or Excel, or ready to send in WhatsApp or email. Invoices import as XML, Excel or CSV. See par level and cycle counting.

What mise does in a gift shop, and what it does not

In short, everything in the "Do it in mise" box above, with no limit on items, counts or scans.

What it does not do: it is not a point of sale, and it does not pay your consignment makers or work out their share: it tells you what sold, and the settlement is yours. It does not list your stock online and does not sync with a web shop. It does not send expiry alerts; the date sits on the item for the monthly review.

Frequently asked questions

How do I add handmade items that have no barcode?

Once, by hand, with a name and a photo. From then on you pick them from the list. You can also photograph the maker's label and mise's AI tries to identify it.

How do I keep consignment stock separate?

Put it in its own location inside the account. It is counted like the rest, and you see what sold, but its value never mixes with the stock you own.

What do I do with seasonal stock after the holiday?

Count it the week after. Decide line by line: mark down, or box it in a seasonal location so next year's order starts from what you already have.

How long does it take to count a gift shop?

By barcode, a 300-line section takes under an hour; a 4,000-line shop is a morning with three people.
